Terms and Conditions Agreement for BHEIRS Respite Retreats

Thank you for choosing BHEIRS Respite Retreats. This document ensures transparency, sets clear expectations, and protects both the Participant and BHEIRS ("Company"). By registering for or participating in a retreat, whether domestic or international, you agree to the following terms. Please read carefully.

1. Registration and Payment
1.1. Deposit
A non-refundable deposit of $500 is required to secure your reservation.
1.2. Payment Schedule
Full payment must be received by March 1, 2025 Failure to pay in full by the deadline will result in cancellation of your reservation without a refund of the deposit.
1.3. Payment Methods and Currency
Accepted payment methods credit card, PayPal, Stripe. All payments must be made in USD. The Participant is responsible for any currency conversion fees or exchange rate fluctuations.
1.4. Refund Policy
General Refund Policy:
Cancellations made more than 60 days before the retreat will receive a 50% refund, excluding the non-refundable deposit.
Cancellations within 30 days of the retreat are non-refundable.
Non-Refundable Situations:
No refunds will be provided for late arrivals, early departures, or removal due to Code of Conduct violations.
Refunds in Special Circumstances:
Refunds for illness, emergencies, or extenuating circumstances may be requested. The Company will review these on a case-by-case basis and reserves the right to issue refunds or credits for future retreats at its sole discretion.
1.5. Company Cancellations
If the Company cancels a retreat due to unforeseen circumstances, Participants will receive a full refund of all payments made, excluding personal travel expenses.
1.6. Travel Insurance Requirement
Participants must provide proof of valid travel and medical insurance covering retreat dates. The Company is not responsible for costs incurred due to lack of insurance.

2. Travel and Immigration
2.1. Passports and Visas
Participants are responsible for obtaining valid passports and visas required for international retreats.

The Company is not responsible for issues with customs, immigration, or denied entry into the host country.
2.3. Travel Delays
Participants are responsible for arranging travel and covering costs for delays or cancellations. Refunds will not be issued for missed portions of the retreat due to travel disruptions.

The Company reserves the right to adjust the retreat schedule, location, or activities due to weather, safety concerns, or other circumstances beyond its control. Refunds will not be issued for such modifications.

For international retreats, all costs must be paid in USD. The Participant is responsible for currency conversion fees and ensuring payments reflect the full amount required in USD.

3. Participant Responsibilities
3.1. Personal Belongings
Participants are solely responsible for their personal belongings. The Company is not liable for theft, loss, or damage to items during the retreat.
3.2. Behavioral Expectations and Community Standards
Participants are expected to act respectfully toward staff, fellow participants, and local communities. Disruptive behavior, harassment, or violations of retreat policies may result in dismissal without refund.
3.3. Health and Dietary Needs
Participants must disclose any medical conditions, dietary restrictions, or accessibility needs during registration. While the Company will make reasonable efforts to accommodate, certain limitations may apply.
3.4. Accessibility Accommodations
Participants requiring specific accessibility accommodations must notify the Company during registration. Accommodations will be arranged to the extent possible, but availability may vary depending on the retreat location.
3.5. Alcohol and Substance Use Policy
Responsible alcohol use is permitted during designated times and activities. Excessive consumption or disruptive behavior due to alcohol will not be tolerated.
The use of illegal substances is strictly prohibited and will result in immediate removal from the retreat without refund.
